AI and automation for business
AI agents, bots and automation are everywhere right now. This page explains in plain language which tools exist, what they suit and what to watch out for.
If you would rather have someone build and run the automations for you, our Automation Cloud is at the end.
Three different things that get mixed up
- Automation moves data between systems by rules: a new webshop order into accounting, form data into the CRM. The same thing happens the same way every time.
- AI inside automation reads, classifies and writes: picks the fields out of an invoice, works out where an email belongs, drafts a reply. A person approves before anything goes out.
- An AI agent is given a goal and decides the steps itself: looks things up, uses tools and acts. Powerful, but it needs clear limits on what it may touch.
| Tool | What it is | Where it runs | Worth knowing |
|---|---|---|---|
| n8n | Visual workflow builder with strong AI features | n8n's cloud or your own server | Licence allows use for your own business purposes |
| Zapier | The easiest no-code automation | Cloud only | Cost grows with every completed step |
| Make | Visual automation with many ready connectors | Cloud, EU region available | When credits run out, automations stop |
| Microsoft Power Automate and Copilot Studio | Automation and agents for Microsoft 365 | Microsoft's cloud | The natural choice if you already live in Microsoft |
| ChatGPT and OpenAI's agents | General-purpose AI, agents shared across a team | OpenAI's cloud | Check data handling and the agreement |
| Claude and Claude Code | Anthropic's AI and agent tools | Anthropic's cloud and your own machine | Connects to other systems through the MCP standard |
| OpenClaw | Open-source agent that runs on your own machine and takes commands from chat apps | Your own machine | Serious security flaws and malicious add-ons reported in 2026. Not for business production systems. |
| Customer-service bots (e.g. giosg, Leadoo, Intercom Fin) | Chatbot for your website and customer service | The vendor's cloud | Often priced per resolved conversation |
What small and mid-size businesses use it for
- Purchase invoices and receipts read straight into accounting, approved by a person.
- Shared inbox messages classified and routed to the right person, with draft replies ready.
- Quote drafts built from a request and the price list, checked by sales.
- Orders moved from the webshop into stock or ERP.
- The CRM updated from emails and meetings.
- Weekly sales and cash reports compiled into email.
- Reminders for overdue invoices, sent once a person approves them.
- An internal knowledge base: staff ask about policies and products and get answers from your own documents.
What to watch out for
- The EU AI Act. From August 2026, people must be told when they are dealing with AI, and AI-generated content must be labelled. In Finland the supervisor is Traficom.
- Data protection. Find out where data is processed and sign a data processing agreement. Many AI services process data outside the EU unless you choose otherwise.
- Cost. Nearly every service bills by usage. An agent stuck in a loop can burn a lot. Set budget caps.
- A person approves. Anything that sends, pays or deletes goes through human approval.
- Agent permissions. Give an agent only the access it needs and use only vetted add-ons. Emails and web pages can contain instructions meant to trick an agent.
Vaivatta Automation Cloud
Not everyone needs to learn these tools. In the Automation Cloud we map your use cases, choose the right base (for example n8n) and build the automations. Then we run them: we monitor, fix and update.
- Mapping: which work repeats, which systems you have, where a person must approve.
- Building: automations and AI steps, tested on your own data.
- Operation: monitoring, fixes, updates and a monthly review of what the automations did.
- Where it runs: on a platform we operate in Finland, or on your own server. You get the results and reports; running our platform stays with us.
- Support: by email in Finnish and English.
Prices from €1,500 + VAT. The final price depends on your use cases and scale, and the monthly operation fee is agreed in the quote.
Frequently asked questions
What is the difference between automation and an AI agent?
Automation follows rules and does the same thing every time. An AI agent is given a goal and decides the steps itself. An agent is more flexible, but it needs clear limits on what it may touch.
Can I use OpenClaw in my business?
We do not recommend it for business production systems. OpenClaw runs with broad permissions on your own machine, and serious security flaws and malicious add-ons were reported in 2026.
How much does automation cost?
Automation Cloud prices start from €1,500 + VAT. The price depends on how many workflows we build, which systems they connect and how much they run. The monthly operation fee is agreed in the quote.
Where is our data processed?
We run the automations on a platform we operate in Finland, or on your own server. If an automation uses an AI service, we tell you in advance where that service processes the data.
Will the AI send messages or pay invoices on its own?
No, unless you decide so. We build automations so that a person approves anything that sends, pays or deletes.
Tell us which repetitive work takes your time, and we will propose an automation and send a quote.
